What is a PDF watermark used for?
A watermark can label a document as Draft, Confidential, Sample, Approved, or Copy. It can also add a company name or logo to reports and downloadable materials. A watermark should communicate status or ownership without making the underlying document difficult to read.
Choose text or an image
Text watermarks are simple, lightweight, and easy to repeat across pages. Image watermarks work well for logos, but the source image should have a clean background and enough resolution to remain sharp. Use consistent wording and avoid decorative elements that distract from the document.
How to add a watermark to PDF pages
- Open the Add Watermark tool.
- Upload the PDF you want to mark.
- Enter watermark text or choose an image.
- Adjust position, size, rotation, and opacity.
- Apply it to the required pages and download the result.
Keep document content readable
- Use moderate opacity so text remains visible underneath.
- Avoid covering signatures, totals, QR codes, and form fields.
- Test the watermark on a busy page and a mostly blank page.
- Keep placement consistent across portrait and landscape pages.
Review the final PDF
Check every page type, especially covers, charts, scans, and appendices. Confirm the watermark is neither cropped nor too faint. Remember that a watermark is a visual notice, not a complete security control. Use password protection and appropriate access permissions for confidential files.
