When should a PDF be password protected?
Password protection is useful for documents containing account details, personal records, contracts, internal reports, invoices, or confidential client information. It reduces the chance that someone can open the file after receiving it accidentally or finding it in a shared location.
Create a strong document password
Use a long, unique password that is not based on the filename, recipient name, birthday, or a common phrase. A combination of unrelated words, numbers, and symbols is easier to remember and harder to guess. Do not reuse an important account password for a document.
How to protect a PDF online
- Open the Protect PDF tool.
- Upload the final document you intend to share.
- Enter and confirm a strong password.
- Process the file and download the protected copy.
- Open it once and verify that the password is required.
Share the password separately
A protected attachment offers little benefit if the password is written in the same email. Send the PDF and password through separate channels, such as email for the document and a phone call or secure message for the password. Confirm the recipient before sharing either one.
Important limitations
- Password protection does not prevent screenshots after the file is opened.
- A forgotten password may make the document inaccessible.
- Keep an unprotected master copy in a secure location.
- Use organizational security policies for highly sensitive documents.
